Top Rentals Zante P.C. (“Top Rentals”, “Company”, “we”, “us”, “our”) is a vehicle rental company registered in Greece. We are the data controller responsible for the personal data we collect in connection with the use of our website and the rental of our vehicles.

2. What Data We Collect and Why

2.1 Booking and Rental Data
When you make a reservation or enter into a rental agreement with us, we collect the following personal data:

• full name;
• date of birth;
• nationality;
• driving license number, issuing country, and expiry date;
• national identity card or passport number;
• contact details, including email address and telephone number;
• flight or arrival details, where provided;
• rental details, including vehicle category, dates, pick-up and drop-off location, and selected protection package.

Legal basis: This data is processed because it is necessary for the performance of the rental contract and to verify that you meet the legal requirements to rent a vehicle. We are also required to retain certain records under applicable Greek tax and accounting law.

2.2 Payment Data
When you pay online, payments are processed through PayPal and viva.com. When you pay in person, card payments are processed through our payment terminals. Cash payments are recorded for accounting purposes.
We do not store, access, or retain any payment card details. All card processing is handled entirely by the relevant payment processor, subject to their own terms and privacy policies.
Legal basis: Processing is necessary for the performance of the contract and to comply with our financial and accounting obligations.

2.3 GPS and Location Data
Our vehicles may be equipped with GPS or other location tracking systems. These systems may collect data relating to the vehicle’s location, movement, speed, and usage during the rental period.
We use this data for the following purposes:

• vehicle security and theft prevention;
• vehicle recovery in the event of theft, accident, or breakdown;
• fleet management and operational monitoring;
• verification of accidents, incidents, or claims;
• verification of compliance with the Terms and Conditions of Rental.

Legal basis: This processing is based on our legitimate interests in protecting our vehicles, ensuring the safety of renters, and verifying compliance with our rental conditions. Where required, consent is also obtained through the signing of the rental contract.
You have the right to object to processing based on legitimate interests. However, please note that if you do so, we may not be able to proceed with the rental.
Location data is not used for any purpose unrelated to the rental of the vehicle and is not sold or shared with third parties except as described in Section 4.

2.4 Website Usage Data
When you visit our website, we collect certain technical data automatically, including your IP address, browser type, pages visited, and the duration of your visit. This is collected through Google Analytics, a web analytics service provided by Google LLC.

• Insurance providers — in connection with claims arising from the rental of our vehicles, where necessary.

All third-party service providers who process data on our behalf are required to process your data only in accordance with our instructions and in compliance with applicable data protection law.

5. International Transfers

Some of our service providers, including Google LLC, may process your data outside the European Economic Area. Where this occurs, we ensure that appropriate safeguards are in place, such as Standard Contractual Clauses approved by the European Commission, in accordance with applicable data protection law.

6. How Long We Keep Your Data

We retain your personal data only for as long as is necessary for the purposes for which it was collected, and in any event in accordance with the following:

• Rental and contract records: retained for a minimum of five (5) years from the end of the rental period, as required under applicable Greek accounting and tax law;
• GPS and location data: retained for a maximum of one (1) year from the end of the rental period, unless retention for a longer period is required in connection with an unresolved claim, incident, or legal proceeding;
• Website analytics data: retained in accordance with Google Analytics’ standard retention settings, subject to your consent preferences;
• General correspondence: retained for as long as reasonably necessary for the purpose for which it was received.

7. Your Rights

Under the General Data Protection Regulation (GDPR) and applicable Greek data protection law, you have the following rights in relation to your personal data:
